What a corporate event actually costs in Dhaka
- Events
- Budgeting

Most first quotations for a corporate conference in Dhaka are wrong by twenty to thirty percent, and almost always in the same direction. Not because vendors are dishonest, but because the brief they were given did not mention the things that cost money.
Here is the full shape of a two day, 500 delegate conference at a five star venue in Dhaka, priced at 2026 rates. Your numbers will differ. The line items will not.
The costs everybody quotes
These are the items that appear on every quotation you will receive, because they are the ones the brief asked about.
| Line | Typical range (BDT) | What moves it |
|---|---|---|
| Venue and F&B, 2 days | 18,00,000 to 26,00,000 | Delegate count, menu tier, whether you need the hall the night before |
| Stage, set and rigging | 6,00,000 to 12,00,000 | Width of the stage, height of the truss, whether the set is reusable |
| Audio, lighting, LED | 8,00,000 to 15,00,000 | LED area in square feet, and how many speakers need a lapel mic |
| Delegate kits | 1,50,000 to 4,00,000 | Whether the bag is branded or bought |
The four costs that go missing
Rehearsal day. A conference with a chairman's address and an awards segment needs the hall from the evening before. Venues price this as a separate day. Budget for it or you will rehearse in a room that is still being set.
Power redundancy. A generator on standby is not the same as a generator running in parallel with an automatic transfer switch. If the LED wall goes dark during the keynote, the second option is the only one that would have saved you. It costs more and nobody quotes it unless asked.
Content production. The opening film, the award animations, the lower thirds and the presentation templates are a production job with its own timeline, not something the AV vendor throws in. Teams that discover this two weeks out end up paying rush rates for work that was always going to be needed.
The day after. Photography and video edited and delivered, a recap film for social, and the delegate feedback summary. This is the part that turns an event into next year's business case, and it is the first thing cut when the budget was never there.
A quotation that does not have a rehearsal day, a redundancy line and a content line is not cheaper. It is incomplete.
How to read three quotations properly
Ask all three vendors for the same four numbers, in writing:
- Total LED area in square feet, and the pixel pitch
- Number of wireless microphone channels, and how many are spares
- Whether the generator runs in parallel or on standby
- Who owns the equipment, and what is being subcontracted
The last one matters most. A vendor subcontracting the AV has no control over what arrives on the day, and the person you have been dealing with will not be the person who solves the problem at four in the afternoon.
A realistic total
For the conference described above, a complete budget lands between 42,00,000 and 68,00,000 BDT, with the spread driven almost entirely by LED area and menu tier. Anything materially under that range has something missing, and the missing thing is usually one of the four above.
If you want this priced against your actual brief rather than a generic one, send us the delegate count, the date and the venue shortlist. You will get questions back before you get a number.
